Detailed, Step-by-Step Zoom Phone User Guide

Getting Started

When you get your Zoom Phone license, you will get an email notification with a link to set up Zoom Phone.

  1. Click the link at the bottom of the email notification. If you didn't get an email, sign into the Zoom web portal at and click Phone.
  2. Enter the required information to set up Zoom Phone:
    1. Country and area code: The area code is used when you dial local numbers.
    2. Timezone: Make sure you set the correct timezone. It will affect several Zoom Phone features including your business/closed/holiday hours and desk phones assigned by your admin.
    3. PIN: If you get a desktop handset, you will need a voicemail PIN to check your voicemail. You will not need the PIN to check voicemail using the Zoom app or web portal.
  3. Click Setup.

Zoom Phone Settings

After the initial setup, you should adjust your Zoom Phone settings in the web portal.

  1. Sign into the Zoom web portal at
  2. Click Phone, then click the Settings tab.

Alternative Call Forwarding

The default setting for unanswered calls (when your computer off or the Zoom app is not open or logged in) is to direct callers to voicemail. If you are unable to answer calls for an extended period, you may wish to use one of the other call forwarding settings for missed calls.

Business/Closed/Holiday Hours

Change the times when you are available to answer calls.

Delegating Your Phone

You can delegate your phone line to someone else, who will then be able to make and receive calls on your behalf. You will both be able to see when that line is free or busy, and you will both be able to place calls on hold and transfer them to each other.

  • This feature is available to you and your delegate if you both have Licensed accounts (external phone numbers).
  • You may delegate your phone to up to 15 people. Each delegate can have up to 15 lines shared with them.

To add a delegate to your line, sign in at Go to Phone, then Settings, and scroll down to Delegation & Assistant.  More information can be found at the 4 minute 45 second mark in this Using Zoom Phone (detailed) video.

Emergency Address

NOTE: Emergency dialing function will not be available by default during the pilot. However, you can choose your location in Settings now, which will route 911 calls to the correct police dispatch. 

Displays the address provided to first responders when dialing an emergency number. It is autofilled with a main address for your campus, but you can change it to a campus address closer to your workplace (under Choose a company address) and/or you can type in a different primary location you work from under Personal Emergency Address.

Make sure this main address is correct. You will automatically be prompted to add a new location when you use Zoom Phone in a new location.

Voicemail Greeting

Audio that plays before Zoom Phone routes calls to your voicemail. You can customize this by recording audio directly in the web portal or uploading an audio file.  There is also an option to choose a voice, type your greeting message, and let Zoom Phone's Text to Speech read out your greeting. 

Zoom App Settings

While all the above settings are in the Zoom web portal, there are also settings in the Zoom app.

  • Open your Zoom app and click on your profile picture in the upper right corner.
  • In the menu, click Settings.

Audio Settings

You can adjust audio settings within the Zoom app, such as:

  • Playing the ringtone on both your headset and another speaker, so you do not miss an alert when you take your headset off.
  • Hiding audio alerts while you are in a meeting.

Zoom Mobile Device Set-Up

Zoom Phone can be used on your mobile device.  You will need to install the Zoom app from the Apple or Google store.  Once you install the Zoom app on your device you can use Zoom Phone.
